Executive Assistant, Office of the President

Anderson University’s Office of the President invites applications for a full-time Executive Assistant. Anderson University is an innovative, entrepreneurial, premier comprehensive, liberal arts university affiliated with the South Carolina Baptist Convention. Reporting directly to the President, the Executive Assistant provides confidential administrative and secretarial support to the President and coordinates Board of Trust meetings. Key responsibilities include effectively maintaining the President’s calendar, in coordination with the Chief-of-Staff, including rapidly securing appointments requested by the President and coordinating schedules with other campus offices and employees, while attending to established parameters and priorities, including maintaining the President’s wellness schedule. The Executive Assistant prepares the President’s monthly expense and reimbursement reports; coordinates the President’s travel arrangements; communicates regularly with the President’s spouse to ensure she is aware of the President’s calendar, particularly those events in which she is engaged, and provides clerical assistance and general support to the President’s spouse as requested, including assistance with event planning, decorating, correspondence, travel, etc.

The Executive Assistant serves as receptionist for the President’s Office, including greeting visitors, directing incoming calls, and responding to emails; communicates regularly with senior leaders on behalf of the President; and attends and keeps minutes for Senior Leadership and Internal Planning Group meetings. In coordination with the Chief-of-Staff, prepares correspondence and presentation materials on behalf of the President; and coordinates commencement speaker arrangements. The Executive Assistant engages with all constituencies utilizing excellent customer service and communication skills, and coordinates with the Office of Development to cultivate and foster closer relationships between the President and major and prospective donors. The Executive Assistant also coordinates meetings, communication, and correspondence with South Carolina Baptist Convention leadership, committees and other denomination representatives and prepares information for Board of Trust nominees to the South Carolina Baptist Convention.

The Executive Assistant coordinates all activities associated with Board of Trust meetings, including meeting locations, hotel and travel plans for Board members, and menu arrangements, as well as, preparation of agenda and board meeting materials.

Prepares, distributes, and maintains file of minutes of Executive Committee meetings and Board meetings.

The successful candidate will have a bachelors’ degree and five to seven years of experience in a progressively responsible executive support position or equivalent combination of education and experience. The candidate must possess proven proficiency in all MS Office programs, as well as database management experience.  Excellent verbal and written communication skills, with an emphasis on exceptional customer service and strong organizational skills also required. Ability to effectively multi-task and prioritize essential.
