Student Records Policy and FERPA

AU maintains appropriate educational records for each student and assures the confidentiality of such records, consistent with the Family Educational Rights and Privacy Act (FERPA) of 1974 and the guide developed by the Committee on Records Management and Transcripts Adequacy of the American Association of Collegiate Registrars and Admissions Officers (AACRAO).

Student records are confidential and will be released to persons outside AU only on the written request of the student. (This is called a FERPA Waiver.) You can grant access to a designated individual for direct login access to your account information through Workday. To learn how to submit this request, click here. You can also grant verbal access to your information to allow for staff to speak with a designated individual by logging in to complete the FERPA Waiver within the Academic and Registration Information application in Workday.

A FERPA Release remains in effect unless it is revoked in writing by the student. You can submit a request to revoke authorization within your Workday account. Our office is available to assist if needed.

Directory Information

AU protects student privacy in compliance with FERPA regulations. However, “directory information” is  generally considered open to public inquiry. The following items are considered directory information:

  • Student name
  • Address
  • Campus email address
  • Telephone number
  • Dates of attendance
  • Enrollment status (e.g., full-time, part-time
  • Current registration hours
  • Classification (e.g., freshman, sophomore, junior, senior, graduate)
  • Program, major, and minor fields of study
  • Degrees and awards received
  • Anticipated degrees and anticipated graduation date
  • Previous educational institutions attended
  • Recognitions
  • Participation in officially recognized activities and sports
  • Weight and height of varsity athletes
  • Photographic, video, or electronic images of students taken in association with university activities or on campus and maintained by the university
